The rules for using the ND Academy Parent Club community portal — who may have an account, what you may post, how dues and payments work, and how we may contact you.

1. Your agreement with us
These Terms of Use ("Terms") are an agreement between you and ND Academy Parent Club ("we", "us", the "Club") covering the ND Academy Parent Club portal — this website, the installable app, and the emails, text messages and notifications it sends (together, the "Portal").
By creating an account, accepting an invitation, signing in, or otherwise using the Portal, you agree to these Terms and to our Privacy Policy. If you do not agree, please do not use the Portal.
The Portal is operated by the Club, a parent organisation supporting Notre Dame Academy (the "School"). The Portal is not the School's student information system, and it is not an emergency service.
Never use the Portal to report an emergency. In an emergency call 911 and contact the School office directly.
2. Who may use the Portal
Accounts are for adults — parents and guardians of enrolled students, School staff, coaches, and Club volunteers and officers. You must be at least 18 years old to hold an account.
Accounts are not for students. The Portal is not designed for children, and we do not knowingly allow anyone under 13 to register.
Membership in the Club, and therefore access to member areas of the Portal, is approved by Club administrators. We may hold an account as pending, decline it, or end it, as described in section 12.
3. Your account
You are responsible for everything done through your account. Keep your password confidential, use a password you do not use elsewhere, and tell us promptly at ndaparentclub@ndacademy.org if you believe someone else has access to it.
Some accounts are created for you. When the Club imports a family, it may create your account and email you a temporary password. That password expires, must be changed the first time you sign in, and is never stored in a form we can read back to you. Do not share it.
Keep your profile accurate — in particular your phone number, your children's details, and who is authorised to collect them. Other people rely on this information, and out-of-date pickup authorisation is a safety problem, not a paperwork problem.
One account per adult. If you believe a duplicate account or a duplicate student record exists, contact the School office rather than creating a second account.
4. Roles and what they can see
What you can see and do in the Portal depends on the roles the Club grants you — parent, room parent, teacher, coach, athletic director, administrator, and so on. Roles are additive, and administrators may change them at any time.
Elevated access is a responsibility, not a perk. If a role lets you see other families' contact details, student rosters, medical notes, attendance, or pickup arrangements, you may use that information only to carry out that role for the Club or the School.
- Do not export, copy, publish or retain member or student information beyond what your role requires.
- Do not use the directory, rosters or messaging for commercial solicitation, political campaigning, or any mailing list of your own.
- Do not share your account, or act on behalf of another member, without the Club's approval.
5. Acceptable use
The Portal is a community space for a school community. Use it accordingly.
- Do not post anything unlawful, harassing, defamatory, hateful, sexually explicit, or threatening.
- Do not post photographs or video of other people's children without the permission of their parent or guardian.
- Do not impersonate anyone, or misrepresent your relationship to a student or to the School.
- Do not upload malware, attempt to bypass access controls, scrape the Portal, or probe it for vulnerabilities without written permission.
- Do not use the Portal to advertise a business, except in the Community Board where the Club permits it and subject to any rules posted there.
- Do not disrupt the service — including by automated bulk requests, or by abusing sign-up, messaging or alerting features.
We may remove content, restrict features, or suspend accounts that breach these rules. Where a breach involves student safety, we will involve the School.
6. Content you post
You keep ownership of what you post — messages, discussion replies, listings, photographs, survey answers and everything else you contribute ("Your Content").
By posting Your Content you grant the Club a non-exclusive, royalty-free licence to store, display and distribute it inside the Portal for the purpose of running the Club's programmes, and to share it with the School where that is part of a programme. This licence ends when the content is deleted, except for copies retained in backups or where we must keep records.
You confirm that you have the right to post Your Content, including any photograph in which another person appears, and that it does not infringe anyone's rights.
Photographs published in Club galleries may be visible to other members, and galleries an administrator marks as public may be visible on the public website. If you do not want a photograph of your family used, tell the Club and we will remove it.
We do not routinely review content before it appears, but we may remove anything at our discretion.
7. Student information and confidentiality
The Portal holds information about children — names, grades, classes and teachers, pickup arrangements, allergy and medical notes, attendance, and team or activity enrolment. The School owns the roster; parents and staff keep the details current.
Treat everything you see about another family's child as confidential. Medical notes and pickup arrangements in particular are shown to you only so that you can supervise, coach or teach safely.
Member directory information is shared within the community for community purposes only. Redistributing it — to a vendor, a mailing list, a social network, or anyone outside the community — is a breach of these Terms.
8. Dues, donations and payments
Membership dues, event fees, store orders and donations are processed by Stripe. We do not receive or store your full card number; Stripe handles card data under its own terms and privacy policy.
Prices, membership terms and renewal dates are shown at the point of payment. Membership is for the period stated at checkout and does not renew automatically unless we say so.
Donations are voluntary and, as a rule, non-refundable. Dues, fees and orders may be refunded at the Club's discretion — contact ndaparentclub@ndacademy.org and we will tell you what is possible.
Where a payment is a charitable contribution, the Club will provide whatever acknowledgement it is able to. Whether a contribution is tax-deductible is between you and your tax adviser — the Club does not give tax advice.
9. Volunteering, activities and events
Sign-ups, volunteer shifts, enrichment enrolment and team rosters are commitments to other families. If you cannot make a shift, release it in the Portal so someone else can take it.
Some activities require a waiver, a background check, a certification, or School clearance before you may take part. The Portal records these, but recording them here is not a substitute for the School's own requirements.
Places in paid or capped programmes are confirmed only when the Portal says they are. Waitlists are worked in the order the Portal records.
10. Messages we send you
Running the Club means contacting you. By holding an account you agree to receive service messages — account, security, membership, payment, sign-up and safety messages, including pickup and dismissal alerts — by email and in the Portal. These are part of the service and cannot be switched off while your account is active.
Everything else is opt-in and under your control on the Notifications screen:
- Email announcements and newsletters — on by default, unsubscribe at any time.
- Push notifications — off until you enable them on a device, and removable from that device's browser settings.
- SMS and WhatsApp — off until you verify your mobile number and opt in. Consent, and the time you gave it, is recorded.
Text-message consent is not a condition of membership, of any purchase, or of taking part in any Club programme. Message frequency varies. Message and data rates may apply. Reply STOP to any message to stop them, or HELP for help. Opting out of texts does not opt you out of email.
11. Assistant and AI-assisted features
Parts of the Portal use AI: a help assistant, drafting and translation help for administrators, and content suggestions. These run on a third-party AI provider (Anthropic).
AI output can be wrong. Treat it as a starting point, not as the Club's answer — check anything that matters against the Portal itself or with a Club administrator.
Do not paste medical, financial or other sensitive personal information into an AI feature that does not need it.
Automatic translation is provided for convenience. Safety-critical text — pickup instructions and medical notes in particular — is deliberately shown as written and is not machine-translated.
12. Suspension, ending your membership, and deletion
You may leave at any time from your account settings, or by asking us at ndaparentclub@ndacademy.org.
We may suspend or end access if you breach these Terms, if your family is no longer part of the School community, if the Club's membership rules require it, or if we must do so for safety or legal reasons. Where it is practical and appropriate, we will tell you why.
Ending your access does not by itself delete records the Club must keep — payment records, volunteer hours, and content you posted to shared spaces. See the Privacy Policy for what is kept and for how long.
13. Availability and changes to the Portal
The Portal is provided as it is. We work to keep it available and accurate, but we do not promise that it will be uninterrupted, error-free, or that every piece of information in it is current.
We may add, change or remove features. Where a change materially affects how you use the Portal, we will give notice inside it.
The Portal integrates third-party services — including hosting, payments, email, messaging and AI providers. We are not responsible for those services' own outages or acts.
14. Disclaimers and limits on liability
To the fullest extent the law allows, the Portal is provided "as is" and "as available", without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose and non-infringement.
The Club is a volunteer-run parent organisation. To the fullest extent the law allows, neither the Club nor its officers, volunteers or contractors are liable for indirect, incidental, special, consequential or punitive damages, or for lost data or lost opportunity, arising out of your use of the Portal.
Nothing in these Terms limits liability that cannot lawfully be limited — including for death or personal injury caused by negligence, or for fraud.
You agree to indemnify the Club against claims arising from Your Content or from your breach of these Terms.
15. Changes to these Terms
We may update these Terms. The version and effective date at the top of this page always tell you which set applies.
If a change is material, we will give notice in the Portal or by email before it takes effect, and — where the change requires it — ask you to accept the new version. Continuing to use the Portal after a change takes effect means you accept it.
16. General
These Terms, together with the Privacy Policy, are the whole agreement between you and the Club about the Portal. They are governed by the laws of the state in which the School is located, without regard to conflict-of-law rules.
If any part of these Terms is found unenforceable, the rest continues to apply. Our not enforcing a provision is not a waiver of it.
You may not transfer your account or your rights under these Terms to anyone else.
